Scale the business without becoming the bottleneck.
Custom dashboards and tracking for founders running multi six and seven figure businesses. One place that shows where the next bottleneck is forming, so you fix it in an afternoon instead of finding it in next quarter's numbers.
Good morning, Dara

Growth creates bottlenecks faster than you can see them.
Past the first million the business stops fitting in your head. More leads, more people, more tools, and every new layer hides the thing that is slowing the whole machine. You only find it when it shows up in the numbers, and by then it has cost you a quarter.
Your time is the bottleneck
Every number runs through you. Every decision waits for you. You hired a team to scale and ended up as the reporting department.
Nobody sees the whole picture
Sales sees sales. Ads sees ads. Delivery sees delivery. The bottleneck sits in the handoff between them, where nobody is looking.
You find out a quarter late
A setter was overloaded for six weeks. A campaign quietly stopped converting. You learned both from a bad month, not from a queue that was already growing.
One system. Pointed at whatever is slowing you down.
Every build starts from the Bottleneck Map, so no two look the same. These are the four shapes they most often take.
Find where the pipeline stalls, by the hour.
Every lead is time stamped at every handoff. The system shows you the stage where volume drops and the stage where time piles up, which are rarely the same place.
- Stage by stage conversion and time in stage
- Queue depth per person, live
- An alert the moment a stage breaches its target
Every rep, every number, no arguing.
Setters and closers see their own scorecard each morning. You see all of them side by side, pulled from the CRM and the calendar, not typed in on a Friday.
- Calls, booked, show rate, close rate, cash collected per person
- Trend against their own last 4 weeks, not just the team average
- Flags for overload, drop off and coaching moments
| Rep | Booked | Show rate | Close | Cash | 4 wk trend | Status |
|---|---|---|---|---|---|---|
| AOAoifeCloser | 22 | 82% | 39% | €29,400 | Strong | |
| COConorCloser | 19 | 68% | 24% | €11,900 | Dropping | |

| SBSetter BSetter | 9 | 52% | · | · | Overloaded |
Know who is about to leave before they tell you.
Retention is a set of small signals that nobody is watching: missed sessions, slow replies, a payment that bounced. The system scores every client and lists the ones drifting, with the reason.
- Active clients, churn and net revenue retention by month
- At risk list with the trigger that put them there
- Renewal and upsell windows, 30 days out
Spend to cash, not spend to clicks.
Meta and Google tell you cost per lead. Your bank tells you what happened. The dashboard joins the two, so every campaign shows its cost per booked call, cost per show and real return on spend.
- Spend, CPL, cost per booked, cost per show, ROAS by campaign and creative
- Attribution from first click through to cash collected
- Daily budget pacing with an alert when a campaign drifts off target
| Ad name | Placement | Spend | CPL | ROAS | Status |
|---|---|---|---|---|---|
| WEB_Founder_Hook_v3 | Reels | €5,400 | €38 | 4.6x | Scaling |
| VSL_Objection_Price_v2 | Feed | €3,900 | €29 | 3.9x | Scaling |
| LM_Checklist_UGC_v1 | Reels | €3,000 | €24 | 2.2x | Watch |
| STORY_Testimonial_Aoife | Stories | €1,900 | €17 | 1.1x | Pause |
The team gets told. You get told first.
Every build ships with an agent that reads the numbers every morning and writes to the people who need them, in the channel they already use. Four jobs, no prompting, no dashboard to open.
To marketing and sales. Leads in, by source. Contacted, booked, showed, closed. Where yesterday's leads are right now and who is sitting on them.
To marketing. Spend, CPL, cost per show and ROAS to cash by campaign, ad and placement. The one ad to scale and the one to pause, with the reason.
To whichever setter owns the lead, and to the sales lead if nobody does. Fires when a new lead has waited past the target. Escalates at 1 hour and again at 4.
To delivery and the founder. Any client whose risk score crossed the line overnight, the signal that moved it, and the suggested next touch.
Lead J. Doyle (Webinar · cold) came in at 09:48 and has not been contacted. You have 11 in queue. Setter A has 2. Call now or hand it over.
The whole business on one screen. Without you building it.
Your real numbers every morning, pulled from the tools you already use.
Daily leadflow and ads reports, speed to lead pings, churn flags. Sent where the team already looks.
Founder, sales lead, setter, closer, delivery. Each person sees only their job.
Connects to your CRM, ads, calendar, payments and sheets. Nothing to move.
Hover any figure and see where it came from and when it updated.
Code, data, hosting and logins in your name from day one.
Built for founders who have outgrown their own systems.
Multi six to seven figures and up
Below that a good spreadsheet is enough. At this level the business has outgrown what you can hold in your head, and one system pays for itself in the first quarter.
A team that still runs through you
Sales, delivery, ads, maybe all three, and every important number still lands on your desk. Coaches, agencies, trades, clinics, ecom, training companies.
A stack that does not talk
You already pay for a CRM, ads, a calendar, payments and a few sheets. None of them agree with each other, and reconciling them is your job. We make them agree.
The analysis guarantee
If the Bottleneck Analysis Call does not show you at least one bottleneck worth 10 hours a week of your own time or 25k a year, we will tell you that you do not need us and point you somewhere useful. That has not happened yet, which is why we only work with businesses at this size.
Four steps. One call to start.
Nothing gets built until the numbers say it should. Every step hands you something you can use even if you stop there.

01Bottleneck Analysis45 minute call · free
You walk us through how the business runs today. We ask where decisions wait, where numbers get assembled by hand and where the team goes quiet. No deck, no pitch.
You leave withYour top three bottlenecks, costed in hours and revenue. The Bottleneck Map lands in your inbox within 48 hours. -
02Build Out Strategy Call90 minutes · you and your ops lead
We walk the Bottleneck Map together and decide what gets built first, what it connects to, who on your team owns each screen, and what the first 30 days look like.
You leave withA build spec, a timeline and a fixed price. You could take the spec to any developer. Most people do not. -
03Build30 days · live by day 30
We pull 90 days of raw data, sit with four people on your team, then build the command centre to the spec and nothing else. Connected to your CRM, ads, calendar, payments and sheets. Training happens before go live.
You leave withThe whole business on one screen every morning, plain English alerts, role views for each person, and the code, data and logins in your name. -
04OngoingMonthly · no hourly bills
We watch the alerts, fix what breaks, and add the next module as the business grows into it. One short report a month on what the system caught early and what it saved.
You leave withA system that keeps up with the business without you building it, and without hiring someone to.
What founders ask before they book.
Straight answers. If yours is not here, ask it on the call.
Book the callWe already have a CRM and some dashboards
Good. We will use them. The problem is not that you have no data, it is that it lives in five places and the only person who looks at all five is you. The analysis usually finds the bottleneck in the gap between the tools, not inside any of them.
Why not just hire a developer
You can, and you will spend the first two months explaining the business to them. We start from the business and work backwards to the software. You get someone who has sat inside sales teams and ad accounts, not a contractor waiting for a ticket.
What if we do not know what we need
Nobody does at the start. That is what the call is for. You do not scope the build, the Bottleneck Map does. If a Google Sheet with three formulas fixes it, that is what we tell you, and you keep your money.
Is it expensive
Compared to what. Put a number on one no show a day, one lead that waited a weekend, and 14 hours a week of your own time spent assembling reports. The Bottleneck Map puts those numbers in front of you before you decide anything.
Will my team actually use it
They will if it saves them something on day one. Each role gets its own view with only their job on it, and training happens before go live, not after. If they can find the number faster than asking you, they use it.
How much of my time does this take
45 minutes for the call, about three hours across the first week of the build, one 90 minute session to review the Bottleneck Map, and an hour on go live. The whole point is that after that it takes none.
Do we own it
Yes. Code, data, logins, all yours. Ongoing exists because you want someone watching it, not because you are locked in.
Tell us where it is slowing down.
You will get a reply within one working day with two things: whether you are a fit, and a time for the 45 minute call. No pitch deck. We look at how the business runs today and tell you what we see.
- 45 minute call. We ask, you talk
- You leave with your top three bottlenecks, costed
- If you are not, we will say so and point you somewhere useful
